Exporting Grades

It is a good idea to frequently export a copy of your gradebook, and save it to your computer. This ensures that you have a backup copy of your gradebook. It might be a good idea to do this each time that you update marks in CourseSpaces.

Your gradebook can be exported to Excel spreadsheet, OpenDocument spreadsheet, or plain text file.

To export a backup of your gradebook:

  1. Click on Grades in the Administration block to access your Gradebook.
  2. Click on the Export tab along the top.
  3. From the very top of the page, select the export type from the drop-down menu. Typically this is Excel spreadsheet (found under Export at the bottom of the drop-down menu).
  4. Below Grade items to be included, determine whether you wish to export a backup of all grade items, or just specific ones.
  5. Below Export Format Options, determine the particular settings for the export. Typically the defaults are fine, but you may wish to have something specific with the export.
  6. When you have made your selections, click Download at the bottom of the page - the export file will be downloaded.

Importing Grades

Grades may be imported as a CSV or XML file. If you plan to import a spreadsheet, consider exporting your current gradebook (see above), so CourseSpaces can reliably reinterpret the formatting. An exported gradebook must be resaved as a CSV file prior to importing.

Note: Grade import is equivalent to manual grading in the grader report. When grades for a particular activity such as an assignment are imported, they can no longer be edited via the assignment submission page.

To import grades into the gradebook:

  1. Decide on an import format - CSV or XML file
    • CSV is the most common format and can be saved from Microsoft Excel but it must be saved as a comma delimited file type.
    • You only need the student vnumber column and the columns for the grades that are to be imported.
    • Extra empty rows at the top or bottom will corrupt the import attempt.
  2. Export grades using the corresponding export format. Edit the export file as appropriate and save it (it is recommended that you do not add columns after the export).
  3. Select your chosen import format (CSV file or XML file) from the gradebook dropdown menu (at the very top, in the row beneath the Import tab).
  4. Browse and upload your previously saved file.
  5. Set options as required:
    • Leave Encoding set to UTF8.
    • Set Seperator to comma if you are using a CSV file.
    • Verbose scales defines whether or not the grade is numerical or text. If it is a number or letter grade set it to No. If it is a word like "complete" then set to Yes.
    • Preview rows lets you define how many rows you want to preview before preforming the import.
    • Force Import forces import of grades even if the grades were updated after the import file was exported
  6. Click the Upload grades button.
  7. Preview the grade import and choose the column mapping:
    • Identify user by should Map from ID Number to Map to ID Number not User ID. User ID is CourseSpaces specific ID and not the V number.
    • Grade item mappings is where you must map the grade to import to the corresponding gradeable item within your course. You have the option of creating a new grade item if it does not already exist - Select New Grade Item from the drop-down menu. Leaving the default option Ignore will result in no grades being imported.
  8. When finished matching, click the Upload grades button to complete the grade import.
